This HR policy<br \/>helps to manage our team in a fair, transparent, and organized way, ensuring SWF hire and<br \/>support the right people to achieve its mission.<br \/>1.1 Purpose of HR Policy<br \/>The purpose of this HR Policy Handbook is to establish a structured, transparent, and fair<br \/>human resource management framework that aligns with the SWF\u2019s mission of improving<br \/>education, healthcare, and social welfare.<br \/>1.2 Scope of HR Policy<br \/>This policy applies to all employees of SWF team, including volunteers and internees.<br \/>1.3 HR Objectives<br \/>1.3.1 To recruit and retain a skilled, mission-driven workforce.<br \/>1.3.2 To ensure fair and transparent HR practices.<br \/>1.3.3 Ensure fair and transparent HR practices.<br \/>1.3.4 Create a respectful, safe, and motivating workplace.<br \/>1.3.5 To establish policies that complies with the SWF best practices.<br \/>Core HR Policies<br \/>2.1 Guiding Principles<br \/>2.1.1 Fair &amp; Equal \u2013 We hire based on skills and merit, not gender, age, religion, or<br \/>disability.<br \/>2.1.2 Mission-Driven \u2013 Employees should be passionate about education and healthcare.<br \/>2.1.3 Diversity &amp; Inclusion \u2013 We welcome people from different backgrounds to enrich<br \/>our work.<br \/>2.1.4 Right Skills for the Job \u2013 Candidates should have the necessary expertise,<br \/>leadership, and teamwork abilities.<br \/>2.2 Appointment Mechanism: The HR team will oversee the hiring process to ensure fairness<br \/>and transparency. If needed and staff required, new staff will be hired as per the requirement.<br \/>Otherwise, volunteers will be brought in to fill immediate positions, and tasks will be assigned<br \/>to them accordingly.<br \/>3<br \/>2.3 Volunteers: Volunteers will be hired initially for a period of 6 Months. After that, their<br \/>tenure will be extended based on their performance, as decided by the management\/ BOD. If a<br \/>volunteer works for more than six months, they become eligible for an experience certificate.<br \/>The volunteer form is available on the website. Download the form, fill in all the required<br \/>details, and email it to SWF.<br \/>2.4 Interns: If anyone wants to do an internship, they can download the form from the website,<br \/>fill in their requirements, and email it to SWF. After the management&#8217;s decision, they will<br \/>receive an email response.<br \/>3.<br \/>Recruitment &amp; Selection Process<br \/>The Recruitment and selection process ensures that the SWF attracts and hires qualified<br \/>individuals who are committed to advancing its mission in education and healthcare, contributing<br \/>to its overall success.<br \/>3.1 Job Posting: Through website, Social Media &amp; Internal hiring.<br \/>3.2 Application Process:<br \/>3.2.1 CV Submission: Candidates will submit their application, including resume, cover<br \/>letter and references.<br \/>3.2.2 Acknowledgment: SWF will send acknowledgment emails to applicants confirming<br \/>receipt of their applications.<br \/>3.3 Screening &amp; Shortlisting:<br \/>3.3.1 Initial Screening: HR reviews application to ensure candidates meet the basic<br \/>qualification and experience.<br \/>4<br \/>3.3.2 Shortlisting:<br \/>HR finalizes the shortlist of candidates list who best match the job<br \/>criteria for further evaluation.<br \/>3.4 Interview Process:<br \/>3.4.1 Scheduling: Contact shortlisted candidates to schedule interviews.<br \/>3.4.2 Panel Interview: Conduct interviews with a panel that may include:-<br \/>a. Top Hierarchy &#8211; CEO, MD, Consultant, ED HR, respective Ex Dir<br \/>b. Middle Hierarchy &#8211; MD, Consultant, ED HR, respective Ex Dir<br \/>c. Low Cadre &#8211; ED HR, Respective Ex Dir &amp; HR Representative.<br \/>3.4.3 Interview Format:<br \/>a. Use structured questions to assess behavioral attributes, skills and cultural fit.<br \/>b. For role in education and healthcare include scenario based questions or practical<br \/>assessments to evaluate specific competencies.<br \/>3.5 Reference Checks:<br \/>Contact provided references to verify past experience\/ employment,<br \/>skills and suitability for the role. Also provide HEC attested educational degrees.<br \/>3.6 Final Selection:<br \/>3.6.1 Decision Meeting: Respective Ex Dir\u2019s will Finalize candidates based on interviews<br \/>and assessment results to make a final decision<br \/>3.6.2 Approval: Obtain approval from the CEO\/ MD &amp; relevant authority for selected<br \/>candidates.<br \/>3.7 Offer &amp; Acceptance:<br \/>Issue a formal letter detailing the Job Title, Salary, Job<br \/>responsibilities &amp; terms of employment. Also receive written acceptance from the candidates.<br \/>3.8 Onboarding:<br \/>3.8.1 Orientation: Schedule an orientation session to introduce new hires to the SWF<br \/>mission, values and operational procedures. Conduct an overview of SWF education &amp;<br \/>Health care initiatives. Provide initial training of all departments (1 Full Day)<br \/>3.8.2 Documentation: Collect required documents (Degrees, Certifications &amp; experience<br \/>Letter)<br \/>3.9 Performance Reviews: On a tri-monthly basis, performance will be evaluated to assess<br \/>contributions and determine whether assigned tasks are being completed on time or not.<br \/>3.10 Employment Terms &amp; Condition:<br \/>3.10.1 Types of Employment: Full time, Part Time, Volunteers &amp; Interns.<br \/>3.10.2 Probation: 3 Months\u2019 Probation Period except volunteers &amp; Interns.<br \/>3.10.3 Working Hours<br \/>a. Office: Monday to Friday (9AM to 5 PM \u2013 with a 1 Hour Lunch Break)<br \/>b. Meetings: Every Saturday (12 PM to 3 PM)<br \/>3.11 Policy Compliance:<br \/>5<br \/>3.11.1 All recruitment activities must adhere to SWF\u2019s ethical guidelines.<br \/>3.11.2 HR will ensure compliance and address any grievances arising from recruitment<br \/>processes.<br \/>3.12 Grievance Redressal: Employees can report concerns to the HR department for resolution.<br \/>3.13 Monitoring and Evaluation:<br \/>3.13.1 Set measurable goals and key performance indicators (KPIs) for all programs.<br \/>3.13.2 Conduct periodic assessments to evaluate program effectiveness.<br \/>3.13.3 Use feedback to refine strategies and improve outcomes.<br \/>3.14 Pay System:<br \/>The pay will be set according to the percentage and finalized through mutual<br \/>understanding under the supervision of finance and senior management.<br \/>3.15 Review and Amendments:<br \/>Policies will be reviewed annually to ensure alignment with<br \/>organizational growth and Organizational best practices. By adhering to this policy, the SWF<br \/>will build a strong and committed workforce capable of achieving its mission \/ goals to<br \/>improve education, healthcare and social welfare projects.<br \/>4.<br \/>Code of Conduct<br \/>4.1 All employees and volunteers must adhere to the following principles:-<br \/>4.1.1 Act with integrity and honesty in all dealings.<br \/>4.1.2 Maintain confidentiality of personal and organizational information<br \/>4.1.3 Adhere to all legal, regulatory and organizational policies.<br \/>4.1.4 Promote a safe and inclusive environment for staff and beneficiaries.<br \/>4.1.5 Foster collaboration and teamwork to achieve the SWF goals.<br \/>4.1.6 Employees should wear attire appropriate to their role and work nature.
